December Logistics

In and out inside the window your venue gives you

December is the one month when a venue is running a party the night before yours and another the night after, so the load-in window is narrower than it would be in June and the room usually has to be clear again by morning. We agree that window with your venue or building contact before the date, build inside it, and come back the same night to take everything out. If the party is in your own office, teardown finishes before people are back at those desks.

The four things we actually build

The entrance

The first thirty seconds decide whether the room reads as a party or as the venue somebody booked. An entrance install is drape, a balloon arch or garland, and something underfoot, and in December it also has to survive wet boots and a queue of coats. We build it clear of the doors so the coat line is not walking through your decor.

The photo wall

Almost every photograph from the night is taken in front of one wall, and it is the only piece of decor most of the company will look at twice. Shimmer walls, drape and floral or balloon framing each behave differently under a ballroom's lighting, so we pick against the room you are actually in rather than from a catalogue.

The tables

Centerpieces for a seated dinner, runners, and the small pieces people push aside to make room for a plate. Low enough to talk across is the rule that matters most at a work party, where the person opposite you is somebody you have to speak to again on Monday, and it is the rule most December centerpieces break.

The stage or podium

If somebody is thanking the team or handing out awards, that is the second most photographed spot in the room. Drape behind, greenery along the front edge of the platform, and the lighting checked from the back of the room rather than from three feet away, because that is where most of the audience is sitting.

Why Ottawa companies book this in October and November

The calendar is doing something specific this year and it is worth knowing before you fix a date. December 2026 has four Fridays, the 4th, the 11th, the 18th and the 25th, and the 25th is Christmas Day itself, so a company choosing a Friday is choosing between three. So is every other company in the building. The demand follows that rather than the month: interest in planning a party climbs through the autumn and peaks in November, while the searches for the party itself peak in December, by which point the question has changed from what you want to what is left. Enquire in October and you are choosing a date. Enquire in the first week of December and you are being offered one. If all three Fridays have gone, ask about a Thursday before you give up on December, because it is the date most teams have not thought of yet.

Every photograph from your December party is taken after dark

This is the detail nobody plans for and everybody notices afterwards. On all three of those Fridays the sun sets in Ottawa at about twenty past four in the afternoon, so a party starting at five or six is lit entirely by the room. That changes what works. Metallics, warm whites and deep saturated colours hold their character under tungsten and LED. Soft pastels that photograph beautifully at a July wedding go grey indoors at night, and pale pink is the one that disappoints most reliably. It also means the photo wall needs light of its own rather than borrowing the room's, because a ballroom lit for dinner is not lit for photographs. Three directions a company can take the palette

Red and green is one option out of three, not the default. Traditional red, green and gold reads as unmistakably Christmas and suits a party where partners and children are invited. Winter metallics, whites, silvers, golds and one deep base colour, photograph better than anything else on this list under artificial light and suit a room full of colleagues who would rather it looked considered than novelty. Your own brand colours are the third, and more companies choose it than you would expect, particularly where the party doubles as a year-end thank you and the photographs are going on a company channel afterwards. If the party is in your own office

Two things change when the room is the one people work in. The first is timing: installation happens after hours or across a Friday afternoon, and teardown has to be finished before Monday rather than at a comfortable pace on the Sunday. The second is more particular to December. Most offices already have something up by the time the party lands, a tree in reception, garland along a counter, whatever somebody's team put out in the last week of November. Party decor either works with that or replaces it for the night, and settling which before the day is the difference between one coherent room and two competing Christmases in the same space. We look at what is already there when we quote, and confirm with your facilities contact what can be attached to a ceiling grid or a wall before we arrive rather than after.

Styling a party is not the same job as decorating for the season

Ottawa has firms whose entire business is seasonal installation: a lobby tree that goes up in late November, exterior lighting, garland that has to be maintained and then taken down and stored again in January. That is a different service with a different price and a different calendar, and the two are not interchangeable, which is worth knowing before you brief anybody. What this page describes is one room on one night, built for your date and cleared afterwards. If what you actually want is the building dressed from late November through the holidays, say so in the first message and we will tell you plainly whether it is us.

What actually drives the quote

Four things, and none of them is a per-head rate. How many zones you want built, because an entrance on its own and a full room are different jobs. Whether the entrance and the photo wall are one installation or two. How long a window the venue gives us, since a room handed over at four for a six o'clock start costs more to build than the same room at noon. And whether teardown happens the same night, which in December it usually has to. Guest count comes into it mainly through the number of tables. The quote comes back itemized, so you can take a line out rather than negotiate a total.

Are you Christmas party planners, or Christmas party decorators?

Both, and for a work party it is worth saying which one you need, because you usually have an internal organiser already. Can you install inside our venue's load-in window and clear the room the same night?

Yes, and in December that is the part worth settling early. A venue running a party the night before yours and another the night after will give you a narrower window than it would in June, and it usually wants the room back before morning. We confirm the load-in time, the security sign-in and what can be hung or mounted with your venue or building contact ahead of the date, build inside the window, and come back the same night to take everything out.

Do you decorate staff parties outside the city centre?

Yes. We work out of Nepean and cover Ottawa, Kanata, Stittsville, Barrhaven, Orleans, Gloucester, Manotick, Richmond, Riverside South, Findlay Creek, Greely and Gatineau. Distance changes the install timing rather than whether we come: a Kanata business park and a downtown tower are different drives on a December afternoon, and the plan accounts for that rather than pretending it does not.

What is the difference between an office Christmas party and a corporate holiday party?

Nothing, in terms of what gets built. The words track the room rather than the work: a company christmas party, a staff christmas party, a work christmas party and a corporate holiday party all mean the same entrance, the same photo wall and the same tables. Holiday is the word most organisations reach for when the team is mixed and nobody wants the invitation to assume, which is also why a fair number of the rooms we style carry no Christmas iconography at all. Use whichever word your team uses. It changes the palette conversation, not the quote.
