Almost everyone printing event signage in this city hands you the board, and somebody in your family then carries a chart the size of a coffee table into the venue looking for an easel. We bring the printed pieces in with the rest of your setup, put the welcome sign where guests actually arrive, stand the chart where the queue will form, lay the cards at each setting, and clear the stands afterwards.

Welcome signs
The first thing guests read, so it sets the tone for everything behind it. Made as mirror signs with vinyl lettering, printed fabric panels, or printed board, with the frame or easel chosen for where it has to stand.
Wedding seating charts
The one sign a whole room queues in front of, so size and legibility matter more than styling. Set out alphabetically by guest or grouped by table, then placed where the line can form without blocking the doors.
Menu, place and favour cards
The small pieces that make a table look finished: menus at each setting, name and place cards, and the cards that sit with the favours, in the same typeface and palette as the signage.
Personalized boxes and keepsakes
Printing does not stop at signs. Chocolate and favour boxes take names, dates and monograms matched to the rest of the stationery, rather than a stock label stuck on afterwards.
What size does a wedding seating chart need to be?
Guest count decides it, not taste. Published sizing guides from specialist chart makers put a single 24 by 36 inch board at roughly 160 guests or 12 tables, a 24 by 48 at around 225 guests listed alphabetically, and a 30 by 54 at about 285. The same guides treat 24 by 36 as the floor once you pass 100 guests. Thickness matters too: a board meant to stand on an easel is normally cut at a quarter inch, because the eighth-inch stock used for hung boards flexes at that size.
Alphabetical by guest, or grouped by table?
Alphabetical is kinder to your guests, and it is what the chart in the gallery above does. Somebody scans for their own surname once, finds a table number, and moves on. Grouping by table looks more elegant and photographs better, but every guest has to read every column until they find themselves, which is how a queue forms at the door. Our rule of thumb is alphabetical past about a hundred guests and by table below that.
What to ask your Ottawa venue before anything is printed
Four questions, and they change what we make rather than just where we put it. What is the load-in window, because a sign that cannot be in the room before guests arrive is not a sign. Can anything be attached to the walls, since plenty of venues say no and that decides freestanding versus mounted. Are easels provided or do we bring our own. And where can a large board stand without blocking a fire exit. Ask before you approve a proof, not after.
When a sign company is the better call than us
We print for events, not for premises. If you need a storefront fascia, a vehicle wrap, pull-up banners for a trade show booth, or a run of business signage, Ottawa has several dedicated sign companies who will do it faster and cheaper, and we will point you at them rather than take the job. What we are good at is the printed pieces that belong to a decorated room and have to match everything else in it.

What size should my wedding seating chart be?
Go by guest count. Published sizing guides from specialist chart makers put a single 24 by 36 inch board at roughly 160 guests or 12 tables, a 24 by 48 at around 225 listed alphabetically, and a 30 by 54 at about 285. Send us your guest and table numbers and we will tell you which size actually works, not which looks nicest in a photo.
How late can I still change the seating chart?
Later than most suppliers allow, but not indefinitely, and the market norm is worth knowing: Ottawa signage studios commonly want everything settled about two weeks out and charge a rush fee inside that window, and local printers publish four to six business days of production once files are print ready. Send the near-final list early and treat the chart as the last thing printed. We will give you your real cut-off date in writing when we quote.
Do you set the signage up at the venue?
Yes, and it is the main reason to order signage from us rather than a print shop. Your pieces come in with the rest of the setup, get placed where guests will meet them, and the easels and stands are cleared afterwards. Nobody is carrying a board the size of a coffee table across a parking lot or hunting for somewhere to prop it.
Can you match my invitation fonts and colours?
Send a photo or the file and we will work to it. The point of ordering signage from the people building your decor is that palette, lettering and finish get chosen against the backdrop and the tables rather than in isolation. Where an exact typeface is not available, we show you the closest match on the proof before anything is printed.
