Birthday Party Venues in Ottawa: What Each One Lets You Decorate

This is the venue type where a birthday can look like anything you want, and it is also the type where people get caught out. Collabüro, a coworking and events space at 499 Preston St in Little Italy, publishes its full Space Rental Agreement for social events online, which almost no Ottawa venue does. It is worth reading even if you book somewhere else, because it spells out things other venues apply without printing.

The line that decides your budget sits near the top: any setup or cleanup time the client needs has to be part of the booking time, or paid as extra time before the event. You get access 15 minutes before your booked period unless you arrange otherwise. Earlier access for extensive decorating, AV setup or a DJ’s sound check is available at a “Set-Up/Teardown” cost, and the venue can refuse it if it clashes with another booking or with its own cleaning crew’s schedule. Only the people doing the setup may be in the building during it. No early guests, no entourage.

Bookings are also consecutive. A four hour booking is four hours in a row, not two now and two later. So a four hour party with a two hour install is really a six hour booking, and the honest way to compare two Ottawa rooms is to price the hours you will actually occupy rather than the hours the party runs.

What you can and cannot attach to the wall

Collabüro’s decorating clause is unusually specific, and the specifics are the useful part:

• No pins and no sticky tape on the walls, because the paint will not survive it.
• Items may be pinned carefully to the sound panels, and long pins hold better than thumbtacks. The sound panels themselves stay on the walls.
• Streamers may go on the ceiling of the Large Room, and fairy lights on the columns, using painters tape or Blu Tac.
• Artwork does not come off the walls without permission.
• The event manager wants your decorating plan before the day, and the agreement says plainly that a third-party decorator’s ignorance of the rules is not a defence if it costs you your security deposit.

That last point is the reason to send the venue’s rules to whoever is decorating, in writing, the moment you book. It is a two minute email that protects a deposit.

Confetti, glitter and what happens to the balloons afterwards

Additional cleaning charges are itemised in the agreement, and glitter and confetti bombs are named in them. Balloons filled with confetti or foil have to be burst deep inside black garbage bags, because loose foil slivers make the cleaner’s job much harder and can trigger the charge on their own. Late pickup of decorator or DJ items that inconveniences the next booking also comes out of the deposit.

There is a nicer clause too. If you leave a balloon display behind, Collabüro keeps it available for a future event, on the reasoning that somebody on a tight budget would be glad of it.

One practical detail no guide will tell you: if anything arrives by van, the agreement points you to the unloading bay on Preston Street outside Peloso Cleaners. Preston is not a street where you improvise parking with a trolley of glassware.

The rule most adult birthdays trip over is alcohol. If you rent a bare room and bring your own drinks, the room’s licence, or the absence of one, is now your problem. The Alcohol and Gaming Commission of Ontario lists birthday parties among the private events its special occasion permit covers, alongside bridal showers, anniversaries and stag and does, for events with invited guests only. Adult parties also carry costs a kids’ party does not. Collabüro’s agreement, again as a worked example of what to expect, ends alcohol service at 2 a.m. and prices a security guard at $150 to $250 plus tax, rising to $250 to $350 on statutory holidays. A venue that quotes you a room rate with none of this attached has not finished quoting.

This is the part that does not appear in any venue guide, and it is the part we get asked about after the room is booked.

Statement pieces do not fold. A rattan peacock chair, a flower arch and a set of illuminated 4 ft marquee numbers are not a car-boot job, and four feet is roughly chest height on most adults, which is the useful way to picture one against a wall you are not allowed to pin anything to. The numbers stand on the floor with no wall fixing at all, which is exactly why they work in a room with a no-pins rule. They rent for $80 on their own, delivered and standing, with no styling package attached.

A venue that gives you 15 minutes of access and a narrow staircase is a venue for a balloon garland and a styled dessert table, not for a backdrop wall. A venue with a loading bay and a two hour setup window can take the whole build. Choosing the room with that in mind is easier than discovering it on the day.
