The Short Answer
Short answer: a wedding coordinator runs a wedding you have already planned. They read your plan in the weeks before, confirm when every supplier arrives and leaves, run the rehearsal, and on the day they are the person your vendors call instead of you. A planner builds that plan with you, from soon after the engagement.
In Ottawa the names tell you when the work starts. Witjes Weddings sells day-of coordination, month-of coordination and coordination from six months out as three packages. Your venue’s own coordinator is a different job again, and does not replace yours.

The Work
What a wedding coordinator does, week by week
Day-of coordination is not one day. Zola, the American wedding company, says day-of coordinators start working with a couple about four to six weeks before the wedding. Its list of their work is plan review, vendor confirmation, the timeline, setup oversight, running the event and coordinating the vendors. Ottawa packages read the same way once you look past the name.
- A meeting to read your plan. Rustic Engagements’ day-of package opens with one in-person meeting and closes the planning with a final review call.
- The timeline. The same package includes help building a detailed wedding day timeline. That document is what the coordinator holds the wedding party and every vendor to on the day.
- Vendor confirmations. In the last week each supplier is confirmed for three things: when they arrive, what they deliver and when they leave. Erica Irwin Weddings and Events lists exactly that, arrivals, deliverables and departures, in its partial planning.
- The rehearsal. Rustic Engagements oversees it inside the package; Witjes Weddings sells it as a separate add-on. Ask which one you are buying.
- The day. Rustic’s eight hours list the job: main contact for every vendor, keeping everyone to the timeline, the processional and recessional, the day-of payments, conflicts, and guests who need something.
- The licence. Ontario asks the couple, the witnesses and the officiant to sign the marriage licence immediately after the ceremony. Someone has to have it, and a pen, at the signing table.
The licence has its own clock. The Government of Ontario says a marriage licence is valid for three months from the date it is issued, so the pickup belongs on the plan the coordinator reads, with a date inside that window.
Which One
Coordinator or planner: which one do you need?
The difference is who makes the decisions. Erica Irwin’s list of a planner’s work is finding and booking the vendors, designing the wedding down to the florals and rentals, building the timeline, and staying with you and your family all day. A coordinator takes the decisions you have already made and makes them happen.
Partial planning sits between the two. Caroline and Company puts the gap in one line: “Most coordinators show up a few weeks out. We start the moment you book.” Some planners will not sell day-of on its own at all. Erica Irwin’s services page says it does not, “since 95% of the planning is done ahead of time.”
When day-of coordination is enough
- Every vendor is booked, under contract, and you know what each one covers.
- You have read the venue’s rules: when you can get in, what is banned, and when everything has to be gone.
- Your decor comes from a supplier who installs and removes it, not from boxes you bought yourself.
- The ceremony and reception are at one venue, or the room flip is one the venue does every week.
When it is not
If the design is still open, you need a planner, because the design decisions are on the planner’s side of Erica Irwin’s list. A second site, a tent or a second event changes the answer too. A henna or mehndi night before the wedding is its own setup and its own timeline, and a coordinator hired for one day will not cover it unless the contract says so.
Decor you sourced yourself needs a written plan before anyone can put it up. Rustic Engagements’ set-up and take-down package asks the couple for detailed decorating instructions, a floor plan and a seating layout. Without them, the person setting up is guessing.
Published Ottawa day-of packages start at $700 at Witjes Weddings and $1,600 at Rustic Engagements, both read on their own sites on October 14, 2026. Every tier, from day-of to full planning, is priced in our guide to wedding planner cost in Ottawa.
The Venue
Why the venue’s coordinator is not yours
A venue coordinator works for the venue. Zola puts it in one sentence: they manage everything to do with the property, like catering and room setup. Erica Irwin’s list is longer: the room set to the floor plan, the kitchen and bar staff, meal choices and dietary restrictions, security, and the heating or air conditioning.
It adds that they may step away to deal with staff, check on another event or give a tour to another couple.
One venue near Ottawa has written that into its policy. The Knox in Merrickville says that beginning in 2026, all of its wedding clients “are required to have a Wedding Coordinator on-site for their wedding day,” and that its venue coordinator “is not a Wedding Coordinator and not responsible for the setup and coordination of your wedding.”
The venue’s clock is the coordinator’s clock
Stonefields Estate’s 2026 vendor FAQ shows how much of the day the building sets. Professional vendors get in from 9am, when its own coordinator arrives. Decor has to arrive on the wedding day, because there is no storage. Decorators and florists must have their work areas cleaned up no later than an hour before the ceremony, and anything left behind must be picked up by 10am the next day.
Each of those is a line on your coordinator’s timeline, and the last one is the easiest to forget at midnight. Our comparison of Ottawa wedding venues sets out the access times and decor rules of nine of them.
A ceremony on NCC land
The National Capital Commission takes wedding ceremony reservations at two sites: the Mackenzie King Estate in Gatineau Park, and Rockcliffe Park in Ottawa. On October 14, 2026 its page says the Estate is fully booked for 2026, and the Rockcliffe Pavilion is being rehabilitated in 2025 and 2026.
The Estate’s rules are the kind a coordinator plans around. The contract has to be signed and every fee paid at least 30 days before. It holds about 40 standing guests and one wedding a day. There is no electricity and no sound amplification, and confetti, flower petals, rice, alcohol and signage are all banned. A flower girl with a basket of petals is a rule break there.
The Handover
How coordination works with the decor
Decor is the one supplier whose work has to be finished before the first guest arrives and undone after the last one leaves, inside the venue’s window. So it sits at both ends of the coordinator’s timeline, and in a room that turns from ceremony to reception, in the middle as well.
When the decorator and the coordinator are two businesses, four things pass between them:
- The venue’s access time and cleanup deadline, in writing, to the decorator.
- The install time, the crew’s arrival and the floor plan of what goes where, to the coordinator.
- The flip: when guests leave the ceremony space, how long the reset takes, and who moves what.
- The teardown: what comes down, by when, and what leaves the building that night because the venue will not keep it.
Each of those is a handover, and a timeline usually slips at a handover. A decor rental company that delivers and leaves adds one more, because someone else then has to set the pieces up. Our guide to wedding decor rentals in Ottawa shows which kind includes setup and teardown.
Our Side
How we coordinate a wedding
We are a decor studio in Nepean, and we coordinate weddings too, which removes the handover above. The arch, the head table and the centrepieces are ours, installed before guests arrive and taken down at the venue’s teardown time. If the room flips from ceremony to reception, the flip is built into the timeline rather than improvised on the day.
You can have us for the day or from the start. Day-of coordination is for a wedding you planned yourself: we take your plan, confirm it with every supplier in the week before and run the day. Full planning builds the plan with you. If you already have a florist or a photographer you love, we coordinate around them.
Our wedding coordination and decor page shows what we design and install. We work in English and Arabic.
Questions
Wedding coordinators, answered
Is a wedding coordinator the same as a wedding planner?
No. A planner helps you make the decisions: which vendors, what the room looks like, how the budget splits. A coordinator carries out decisions you have already made. Many Ottawa businesses sell both, with partial planning in between, and Caroline and Company describes its partial planning as starting the moment you book, where most coordinators arrive a few weeks out.
When does a day-of coordinator start working with you?
About four to six weeks before the wedding, according to Zola, and the Ottawa packages agree that day-of is never one day: Rustic Engagements’ includes an in-person meeting, a final review call and the rehearsal before the eight hours on the day. Book earlier than that for a summer Saturday, when the coordinator you want can already be taken.
Do I need a wedding coordinator if my venue has a coordinator?
Yes, if you want someone whose whole day is yours. The venue’s coordinator looks after the building, the kitchen and bar staff, meal choices and the room set to the floor plan. The timeline, the vendors and the wedding party stay with you or your coordinator. The Knox in Merrickville requires every wedding to have a wedding coordinator on site from 2026.
Who signs the marriage licence, and when?
You, your spouse, your witnesses and the person who performed the marriage sign it immediately after the ceremony, according to the Government of Ontario. A licence is valid for three months from the date it is issued, so pick it up inside that window, and hand it to whoever is running the signing so it is at the table with a pen.
Can a wedding coordinator set up my decor?
Some sell it as its own package, for decor you have already bought or rented. Rustic Engagements and Caroline and Company both list set-up and tear-down, and Rustic asks the couple for detailed decorating instructions, a floor plan and a seating layout first. A decorator who supplies the pieces installs and removes them as part of the same quote.
