Every ballroom and banquet hall sets a load-in time and its own rules on candles and balloons. We ask for those rules when we quote and design inside them, so nothing is turned away at the loading dock on the night.

The gala decorations we build
The stage
The welcome, the auctioneer, the awards and the ask all happen at the front of the room, so the stage is where guests look for most of the evening. Drape behind it and a statement piece at each side do more than decor spread thinly across every table. Our giant mirror orb balloons stand on the floor at the foot of a stage, which suits venues that limit what can be rigged overhead.
The sponsor and photo wall
A charity gala usually owes its sponsors visibility, and the photo wall is where that visibility ends up in pictures. Logos can go into the backdrop itself or onto signage beside it, and we print event signage in house so the type and colours match the room. Send the sponsor list with the enquiry. Which logo sits largest is a decision your committee signs off, and it is better settled before anything goes to print.
The tables
Centerpieces for a seated dinner, with menu and place cards printed per guest. Guests at a fundraiser are often seated with strangers and talk across the table for most of the night, so arrangements are kept low, or lifted high on tapers, with the sightline between left clear.
The auction and registration tables
Silent auction lots usually sit on a row of folding tables along a wall, and they are where guests are asked to spend. Runners, lighting and a clear sign for each lot make that row look like part of the evening. Registration gets the same care, because it is the first queue of the night.
What a gala asks of the decor that a party does not
A party is decorated for the people in the room. A fundraising gala is decorated for three audiences at once: the guests, the sponsors, and whoever is photographing the night for next year's appeal. That moves the budget. The stage and the sponsor wall carry more of it, since they sit behind nearly every speech and photograph, and the guest tables carry less. An awards night moves it further toward the stage, where the same spot is photographed once for every winner. So the quote starts from the running order of the evening, reception, dinner, speeches, auction, awards, rather than from a list of pieces.
Venue rules decide the design before we do
Ottawa's downtown convention centre, the Shaw Centre, since renamed Rogers Centre Ottawa, is a useful example because it publishes its rules. Its March 2022 operational guide lists helium balloons among the materials that need prior authorization, does not permit glitter or confetti, and runs its loading dock on a schedule that will not accept deliveries ahead of the contracted move-in time. Banners hung more than eight feet up go through the venue's own service partner. Hotels and banquet halls rarely write theirs down so plainly, but most have them. Ask your venue coordinator for the list, or send us their contact and we will ask. Settle candles first: a centerpiece designed around open flame has to be redesigned from scratch if the venue says no.
Gala decor on a charity's budget
A charity's decor quote usually has to pass a committee or a board before anyone signs it. We quote itemized for that reason. The stage, the sponsor wall, the centerpieces and the auction tables arrive as separate lines, so a committee can cut one without reopening the rest. If a sponsor is covering the decor, tell us at the start. Their name then belongs somewhere in the room, and it is easier to design in than to add at the end.
Awards nights and banquets
An awards night is a gala with a heavier stage. Each winner walks up, shakes a hand and turns to the camera on the same patch of floor, so the backdrop there has to hold up across dozens of near-identical photographs, and the podium needs clear space on both sides for the walk. A banquet at the end of a conference is often in the same building as the day's sessions, which means turning a room over in the afternoon. How early to book gala decorations
The venue is booked first, and for a gala that is usually many months out. Decor needs less lead time than that, but it cannot start until the date, the room and the running order are fixed, and sponsor artwork needs time to be approved and printed. For a large build a few weeks gives us room to plan the installation and confirm access with the venue. If your date is close, ask anyway and we will tell you what can be done in the time.

How much does gala decor cost in Ottawa?
It is quoted per event, because a hundred-guest charity dinner and a ballroom awards night are different builds. The lines that move the number are the stage, the sponsor or photo wall, how many tables need centerpieces, and how long a load-in window the venue allows. Some pieces carry published prices and can be added on their own, such as light-up marquee numbers at $80 per number for an anniversary gala. Send the date, the venue and the guest count, and the quote comes back itemized for your committee.
Can you put our sponsors' logos on the decor?
Yes. Logos can be printed onto signage beside the backdrop or built into the photo wall, and we print event signage in house so the type and colours match the rest of the room. Send vector files if you have them, along with the sponsor tiers, because who appears largest is your committee's call.
Are you gala planners or gala decorators?
Both, and a gala usually has a committee already, so it helps to say which you need. As gala decorators we build the room: the stage, the sponsor wall, the tables and the auction area. As planners we also take on the running order, the venue's rules and the coordination with the caterer, the AV company and the photographer, work that otherwise tends to land on a volunteer. Ask for one and the quote covers only that.
What if our venue does not allow candles, helium or confetti?
Then the design starts there. Without open flame, the warmth on the tables has to come from flowers and the room's lighting, and we plan that from the first sketch. Pieces that stand on the floor, such as our mirror orbs, avoid overhead rigging. Tell us the venue and we will work from its rules.
Do you decorate galas outside downtown Ottawa?
Yes. We are based in Nepean and cover Ottawa, Kanata, Barrhaven, Orleans, Gloucester, Manotick, Richmond and Gatineau. Distance changes the install timing, not whether we come, so send the venue address with the date and we will plan the load-in around the drive.
